Programme Coordinator

Job Introduction

The post holder will work under the direction of the IT Programme Manager to support the delivery of all programme work in IT.  You will help ensure that all team members and departments have what they require to meet the deadlines and milestones set by the Programme Manager. You will support the planning and implementation of programme work, assist in chasing and communications, manage the programme calendar, and support budgeting details.

The role will also involve supporting the Information Systems Manager, Data Services Manager, and IT project managers in delivery of certain project work including planning, communications, and budgeting.

Role Responsibility

  • Support the programme and project managers in coordinating programme and project activities and maintaining a programme plan of activities.
  • Support the programme and project managers in development and management of project documentation including initiation documents risks issues actions and decisions logs.
  • Support the creation/ management of project related documentation and document management.
  • Liaise with internal DUK stakeholders, external 3rd parties and DUK staff, as appropriate.
  • Set times and dates for meetings in order to keep on schedule
  • Relay any issues with timelines or budgets to the project manager
  • Secretariat for programme meetings
  • Support managers in managing budgets
  • Support data analysis/ reporting as required using Excel.
  • Liaise with end users on Data Services BAU/projects, as required.

The Ideal Candidate

The best person for this job will be able to:

  • Demonstrate good organisational skills
  • Demonstrate good communication skills – i.e. good oral and written English skills
  • Demonstrate proficiency with Microsoft Office, and have a strong working knowledge of Microsoft Word, Excel Project and SharePoint
  • Demonstrate good knowledge and understanding of project process and documentation
  • Work well as part of a team but also independently
  • Demonstrate an analytical and methodical approach to problem solving
  • Absorb and apply technical information

The best person for this job will have experience in:

  • General administration in an office environment (not necessarily IT)
  • Providing excellent customer service and establishing and maintaining effective working relationships with multiple stakeholders and customers
  • Deploying projects preferably within a Prince II environment
  • Assisting with managing projects, monitoring and reporting costs
  • participating in project offices
  • Managing project resources
  • Working within a project team
