Intranet Officer

Job Introduction

The Learning & Organisational Development team is here to make sure our colleagues feel passionate about our vision and mission, feel connected to each other and get the training and support they need to be at their best.  We’re looking for someone who can join the team and help us make the most out of our intranet (called iknow). 

iknow (our intranet) is our key internal communications channel, and it’s also an important tool for colleagues to understand more about other team’s work. We’re a busy charity tackling a huge health crisis with a huge range of teams, projects and initiatives, and iknow helps teams understand what is going on across the charity. 

This role will focus on up skilling local users to take responsibility for their own areas, developing governance, reviewing content, ensuring data protection policies are applied to the site and managing the structure of the site. 

Role Responsibility

  • Producing a draft intranet governance proposal and start implementation (which would include how permissions are streamlined)
  • Carrying out a review of the iknow pages to identify any which contain personal or sensitive data
  • Setting up a project to identify owners for each iknow page and
  • Supporting identified owners to make sure their pages are up to date and structured as effectively as possible and are engaging, data protection compliant and have the correct permissions
  • Provide training for editors and deal with adhoc queries.
  • Can make suggestions about what can be improved on the site.
  • May provide wider internal communications/learning & organisational development support as required

The Ideal Candidate

The best person for this job will be able to:

  • Prioritise and juggle a busy workload, making decisions about where best to invest their time
  • Review content and give feedback so that all intranet content is in line with our brand and tone of voice and data protection/GDPR.
  • Build relationships with others to improve the intranet in partnership with other teams
  • Use SharePoint with high level of technical expertise
  • Project management – demonstrate sound project management principles

The best person for this job will have experience in:

  • Intranets built in SharePoint
  • Data protection and the impact on intranets
  • Training/coaching intranet editors in non technical language to improve their skills and the overall look and feel of the site.

The best person for this job will be:

  • Able to translate technical jargon into everyday language
  • Enthusiastic about the intranet and able to persuade others of the benefits
  • Well organised with close attention to detail
  • Proactive in moving projects forward and working with teams
  • Effective team player who will contribute to the wider Learning & Organisational Development team
